What to collect from the host
An M visa is for qualifying commercial or trade activity. The invitation should explain who is traveling, why the visit is happening, the dates and places, the relationship to the host, and who pays. The inviting organization must provide its own accurate details and authentication. See the M visa guide for the complete application context.
- Traveler: passport-matching name, gender, date of birth, and passport number.
- Visit: actual commercial purpose, arrival/departure dates, cities, relationship, and payer.
- Host: organization name, address, telephone, official seal, representative/signature, and date.

A practical consistency check
Illustrative situation: an employee will meet a supplier in Shanghai and visit a trade fair in Guangzhou. Before requesting the invitation, settle the order of cities and the days of each activity. If the host letter names only Shanghai while the application describes both cities, ask the host to clarify the complete plan.
Use the same legal company name across the letter, contact details, and application. An English brand name may differ from a Chinese legal entity name; explain the relationship instead of silently switching names.
Review before asking for the seal
- Do the name and passport details match the travel document exactly?
- Do the visit dates cover every stated meeting and city?
- Does the purpose describe genuine commercial activity, rather than employment?
- Does the payer information agree with the company and applicant records?
- Can the host confirm the signer, phone number, address, and company identity?
A clean invitation does not replace the passport, residence, prior-visa, and other personal records. Each traveler in a team needs an individual file even when the host and itinerary are shared.
